New Club leader Onboarding Pathway

 Unlock the value in your skills. Run clubs. Earn income. Support schools.


1. Welcome


Thank you for your interest in becoming a club organiser with EduVenue™. Whether you want to run a sports club, homework club, art class, or something unique, this pack will guide you through every step, from your first idea to delivering sessions in schools.


You don’t need to be a teacher to run a club. Anyone with skills, experience, or enthusiasm can apply, we will show you how.


2. What Being a Club Leader Means


As a club leader, you:


  • Deliver safe, fun, and structured activities for children.
     
  • Work with schools that list available spaces.
     
  • Earn money (paid per session, usually by parents or school funding).
     
  • Stay in control, choose what you offer, when, and where.
     

EduVenue™ provides the platform, tools, and signposting to help you succeed. Schools remain responsible for on site safeguarding.


3. Steps to Get Started


Step 1 – Create Your EduVenue™ Account


  • Go to the EduVenue™ website.
     
  • Select “I want to run a new club.”
     
  • Fill in your profile (name, contact details, your activity idea).
     

Step 2 – Choose Your Activity


  • Select from common categories (Sports, Arts, STEM, Homework, Performing Arts, Wellbeing).
     
  • Or propose your own idea (we encourage unique activities).
     

Step 3 – Compliance Onboarding


Before you can run a club in schools, you will need to meet basic safeguarding and insurance requirements. EduVenue™ makes this simple by signposting you to trusted providers. You will need:


  • DBS Check (criminal record check) – apply online if you don’t have one.
     
  • Safeguarding Training – EduVenue™ will signpost to a short online course.
     
  • Public Liability Insurance – protects you if something goes wrong.
     

Upload proof once, then you are covered for all schools on EduVenue™.


Step 4 – Apply to Schools


  • Search for local schools listing spare spaces.
     
  • Submit your proposal with your activity outline and documents.
     
  • The school reviews and approves.
     

Step 5 – Run Your Club


  • Parents book and pay instantly through EduVenue™.
     
  • You focus on delivering your sessions.
     
  • Payments are processed automatically so you get paid on time.
     

4. Support & Earning


How You Earn


  • Typical parent fees: £4–7 per child per session.
     
  • Average club: 15–20 pupils.
     
  • Example: 15 pupils × £5 = £75 for a 1-hour session.
     

Self-Employment


As a Club Leader you are self-employed. This means:


  • You invoice via EduVenue™ and get paid directly.
     
  • You are responsible for declaring income to HMRC.
     
  • If you earn under £1,000 per year, you may not need to register as self-employed (Trading Allowance applies).
     

EduVenue™ provides signposting to simple guides and umbrella payroll options.


5. Your Checklist


Before applying to schools, make sure you have:


  • EduVenue™ account created
     
  • Activity idea chosen
     
  • DBS certificate (or in process)
     
  • Safeguarding training completed
     
  • Insurance arranged
     
  • Lesson plan or outline ready
     

6. FAQs


Do I need to be a teacher?


No. Anyone with skills, experience, or enthusiasm can apply.


What if I don’t have insurance or DBS yet?


We will show you where to get them quickly and affordably.


How much does it cost to get started?


Usually £60–100 for insurance and £30–50 for DBS. Training is around £20.


When do I get paid?


After your club session has taken place, EduVenue™ transfers your earnings directly to your bank account. No chasing parents or collecting cash.


Do I need a business bank account?


No. Payments can go straight into your normal personal bank account. Some organisers choose a separate account to make tracking easier, but it isn’t required.


Do I need to register as self-employed?


Only if you earn over £1,000 a year from your club(s) or any other side venture. This is called the Trading Allowance. If you stay under that, there’s normally nothing else to do.


What if I already have a job?


No problem. You can be employed (PAYE) and also earn a little extra as self-employed through EduVenue™. Many organisers do this.


What about tax?


If your earnings go above £1,000 in a year, you just let HMRC know through a simple online form (Self Assessment). We will point you to guides to make this easy.


Do I need to invoice schools or parents?


No. EduVenue™ handles all the admin. Parents pay online, schools see registers, and you get paid automatically.


Are there extra costs?


The only start-up costs are your DBS check, safeguarding training, and public liability insurance. We’ll show you where to get them affordably.


Can EduVenue™ help if I don’t want to do self-employed paperwork?


Yes. We can signpost you to umbrella payroll companies who, for a small fee, will handle tax and payments for you.
